The Secretariat of the WTO is seeking to fill a position of Office Assistant in the Office of the Director-General.
This is an External Vacancy Notice open to external candidates and WTO staff. It is posted on the WTO internal as well as external career site. Eligible WTO staff on short-term, fixed-term or regular contracts and interns must apply through the Workday internal career site.
This is a Fixed-term contract funded through the regular budget. The duration will be two years with the possibility of extension.
General Functions
Reporting to the Director-General and the Chef de Cabinet, the Office Assistant will have the following responsibilities.
- Provide a diverse range of secretarial support to the Office of the Director-General (DGO), which includes handling and drafting of correspondence, e-mail management, screening and responding to telephone calls and maintaining a filing system.
- Carry out a wide range of secretarial and administrative tasks supporting the work of the DGO, including organization of meetings involving meeting room reservations, preparation of relevant meeting documents; preparatory work for missions including travel and other logistical arrangements.
- Assist in the preparation of documents and publications of the DGO, which includes formatting, proofreading, inputting edits, as well as information gathering.
- Assist with travel arrangements and visit programs; create, organize and manage files and records relating to the activities of the DGO.
- Monitor the allocated budget for DGO; and track and report on relevant financial commitments/expenditures.
- Maintain skills up-to-date and remain abreast of new office procedures and software.
- Undertake any other tasks as assigned by the Director-General or Chef de Cabinet.
REQUIRED QUALIFICATIONS
Education:
- Completion of secondary education; secretarial/office management qualifications would be an asset.
Knowledge and Skills:
Technical Knowledge and Skills:
- Advanced level of secretarial, administrative and office management skills.
- Excellent word processing skills and proficiency in MS suite of applications (or equivalent) at advanced level.
- Knowledge of the work of the WTO Secretariat; familiarity with the working procedures and a general understanding of the substantive work of the Office of the Director-General would be an asset.
- Good understanding of WTO administrative procedures would be an advantage.

- Excellent organizational skills, including ability to work under pressure and strict deadlines with limited supervision.
- Accuracy and attention to detail.
- Tact and discretion.
- Willingness to be flexible with regard to working hours as dictated by work demands and schedules.

Work Experience:
- At least five years' relevant experience including office management, preferably in an international organization or a government ministry environment. An equivalent combination of a good education and relevant experience may be considered.
Languages:
- Excellent speaking and writing skills in English including ability to draft correspondence, edit and proofread (at a level corresponding or equivalent to a minimum of C1 according to the Common European Framework of Reference for Languages (CEFR)).
- A good working level of French would be considered an advantage. Skills in Spanish would be an asset.
Additional Information:

- For non-entry level positions, the position may be offered at a lower grade if the selected candidate does not fully meet all the required qualifications.
- The initial fixed-term contract shall be two years, which shall be probationary, as per Administrative Memorandum No. 997 (OFFICE(23)/4) on Probation Policy.
- The WTO may use various communication technologies such as video or teleconference for the assessment and evaluation of candidates. The recruitment process may also involve the use of various forms of testing, assessment centres, interviews and reference checks.

- Candidates not selected whose performance in the selection process nevertheless shows them to be suitable for a similar position may be kept on a roster for up to 24 months, and may subsequently be called upon as and when the need arises for additional resources.
